Finance

The ERP ledger — transactions, invoices, bills, expenses, budgets, tax and the AI CFO.

Finance is a real ERP ledger inside the portal: transactions, invoices, bills, expenses, budgets, categories, multi-currency, tax, and an AI CFO you can ask questions of.

Finance is Command only, and needs the manage_finance capability on your role. Both must pass — the page is hidden without the role and walled at the route, because a hidden menu item is not access control.

1. Getting to the page

Click Finance in the Finance section, at /client/finance. Nine tabs across the top.

Deep links work: ?tab=invoices&new=1 opens the invoices tab with a new invoice ready, and ?invoice=<id> opens a specific invoice.


2. Date ranges

Every tab respects the range selector: MTD · QTD · YTD · All, or a custom range.


3. Overview

The financial health of the business at a glance: revenue, costs, profit and margin for the range; cash position; a health gauge; a cash-flow forecast; and what needs attention — overdue invoices, unpaid bills, budgets over.


4. Transactions

The ledger. Every money movement, in or out, with its date, description, category, amount, currency and linked document.

Add transactions by hand, import them from CSV, or let them arrive from Payments when a checkout is paid.

Everything is auditable: the ledger records what changed, when, and by whom.


5. Invoices

Create, send, track and settle invoices.

  • Line items priced from your services catalogue.
  • Tax applied by your tax rules.
  • Any currency, converted to your base currency for reporting.
  • Statuses: draft, sent, part-paid, paid, overdue, void.
  • Record payment against an invoice, in full or in part.
  • Recurring invoices for retainers and subscriptions.
  • PDF generation and email delivery.
  • An aging table showing what is owed and how late.

Invoices can carry a payment link so the recipient pays without an email exchange.


6. Bills

The other direction: what you owe. Suppliers, due dates, approval state and payment. Bills raised through Procurement land here.


7. Expenses

Staff and business expenses, with receipts attached, categorised and posted to the ledger. Expense claims submitted in Procurement arrive here once approved.


8. Reports

Financial reports proper, not the general Reports builder:

  • Profit & Loss
  • Statement of accounts — per customer or supplier
  • Aging — receivables and payables by age bucket
  • Cash flow
  • Budget vs actual

All exportable to PDF and spreadsheet.


9. Budgets

Set budgets per category and per period, and track actuals against them. Over-budget categories surface on the Overview.


10. Categories

Your chart of accounts, in plain language. Categorise income and expenditure so reports and budgets mean something. Categories can be nested.


11. Tax & Currency

  • Base currency — what everything is reported in. Set once; getting it wrong shows the wrong symbol on every revenue figure in the portal, including Numbers.
  • Additional currencies — transact in any currency; amounts are converted for reporting.
  • Exchange rates — where an amount has no rate available, it is excluded from the converted total and the total is flagged as understated rather than silently counted at 1:1.
  • Tax / VAT rules — rates, registration numbers and how tax is applied to invoices.

12. The AI CFO

A finance assistant you can ask questions in plain language: "what did we spend on subcontractors last quarter?", "which invoices are more than 30 days overdue?", "are we on budget for marketing?"

It answers from your ledger and can surface action cards — an overdue invoice to chase, a budget about to break — rather than only answering when asked. It is reachable from a dock inside the Finance surface.


13. Importing and exporting

Import transactions, invoices and bills from CSV with column mapping. Export any tab, and every report, to CSV, XLSX or PDF.
