Team
Members, invitations, the four roles and what each one may do.
Team is where you invite people, set what they can do, and remove them. Seats are capped by your plan: 3 on Launch, 10 on Growth, unlimited on Command.

1. Getting to the page
Click Team in the Account section, at /client/team. The page needs the manage_team capability, which only admins hold.
Two lists: Pending Invitations and Active Members.
2. Inviting someone
Invite User takes a first name, a last name, an email address and a role. The invitation goes out by email with a link to set a password and join.
Seats are counted against your plan's cap. At the cap, the invite button is disabled and names the limit.
3. Pending invitations
Invitations show when they were sent and when they expire. An expired invitation can be resent; an unwanted one can be revoked.
4. The four roles
| Role | Description |
|---|---|
| Admin | Full access, including billing, team and agent building. |
| Closer | Works and closes deals — pipeline, contracts and payments. |
| Opener | Creates and qualifies leads and contacts. |
| Viewer | Read-only across the CRM, calls and reports. |
5. What each role can do
Roles are defined by capabilities:
| Capability | What it allows | Admin | Closer | Opener | Viewer |
|---|---|---|---|---|---|
| View | See the CRM, calls, documents and reports. | ✓ | ✓ | ✓ | ✓ |
| Edit records | Create and edit leads, contacts, notes, tasks. | ✓ | ✓ | ✓ | — |
| Manage pipeline | Move pipeline stages and close deals. | ✓ | ✓ | — | — |
| Transact | Send contracts for signature and take payments. | ✓ | ✓ | — | — |
| Manage agents | Build and edit voice agents. | ✓ | — | — | — |
| Manage finance | Finance, Procurement and anything that reads the ledger. | ✓ | — | — | — |
| Manage account | Billing, plan, seats, integrations, account settings. | ✓ | — | — | — |
| Manage team | Invite and remove people. | ✓ | — | — | — |
An unrecognised role is treated as a viewer. A role added to the system without being given capabilities is read-only rather than accidentally powerful.
6. Roles and plans are separate gates
Two questions gate every feature, and both must pass:
- Does the account's plan include it?
- Does this person's role allow it?
A Command account still does not let a viewer move a deal, and an admin on Launch still cannot open Finance.
The UI is convenience; the database is the control. Membership changes, account updates and ledger writes are restricted by database policy, not by which buttons render.
7. Changing a role
Change a member's role from their row. It takes effect immediately — the navigation and the surfaces they can reach change on their next page load.
8. Removing someone
Removing a member revokes their access at once. Their history — the leads they created, the calls they handled, the deals they closed — stays, so reporting and Numbers attribution are not rewritten by a departure.
Removing someone frees a seat.
9. Where roles bite
| Surface | Requires |
|---|---|
| Finance · Payments · Procurement | manage_finance |
| Team · Settings | manage_team / manage_account |
| Voice agent building | manage_agents |
| Pipeline stage moves | manage_pipeline |
| Contracts and taking payment | transact |
| Org tree and KPI targets in Numbers | Client admin |
The Closer role also gets a deliberately narrow portal: My Appointments and the Calendar only.
10. Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| Can't invite anyone | At your plan's seat cap | Remove someone, or upgrade |
| A colleague sees a smaller menu | Their role is narrower | Change it here |
| A viewer can't edit anything | Correct — viewers are read-only | Give them Opener or above |
| An invitation never arrived | It went to spam, or the address is wrong | Resend |
| Someone still has access after removal | Their session had not expired | It ends on the next request |
| An admin can't open Finance | Finance is Command-only — a plan gate, not a role gate | See Plans & Subscriptions |
