The Inbox is a full email client inside Sysevo. Connect Gmail, Outlook or any IMAP + SMTP mailbox, then read and send from it here — with every inbound sender automatically becoming a lead with a note on their timeline.

1. Getting to the page
Click Inbox in the CRM section of the navigation, at /client/inbox. It opens full-screen with its own rail — an email client needs the whole viewport.
The Inbox is available on every CRM plan.
2. Connecting a mailbox
Three connection types:

| Gmail | OAuth. Sign in with Google and grant access. |
| Outlook / Microsoft 365 | OAuth. Sign in with Microsoft. |
| Any IMAP + SMTP | Host, port, username and password for both incoming and outgoing. |
OAuth is preferred where available: no password is stored, and access can be revoked from your Google or Microsoft account at any time.
Once connected, mail syncs both ways — messages you send from Sysevo appear in your mailbox's Sent folder, and mail you read elsewhere shows as read here.
3. Reading mail
The rail lists your folders; the list shows the current folder; the pane shows the selected message. Standard behaviour throughout: search, mark read/unread, star, archive, delete, move between folders.
4. Sending, replying and forwarding
Compose, reply, reply-all and forward. Rich text, signatures and attachments are supported.
You can insert a template into a reply, which is the fastest route from "this is the fourth time I've typed this" to a reusable asset.
5. Attachments
Attach files from your machine or straight from the Vault. Inbound attachments can be saved into the Vault in one click, which is how a signed document or a supplier invoice gets filed without a round trip through your downloads folder.
6. Senders becoming leads
This is the part that makes the Inbox a CRM surface rather than a webmail client.
A new inbound sender automatically becomes a lead, with a timeline note recording the email that created it. If the sender is already a contact or a lead, the message is attached to the existing record instead — no duplicate is created.
That means the email thread, the calls, the tasks and the deal are all on one timeline.
7. Multiple mailboxes
Connect more than one — a personal mailbox and a shared hello@ mailbox, for example. Each keeps its own folders and its own settings, and the rail switches between them.
8. Sending domains
Sending bulk mail from your own domain — for Campaigns and Sequences — is configured separately under Settings → Email, where you verify a sending domain with DNS records. That is deliberately separate from a connected mailbox: one is a person's mail, the other is your brand's bulk sending reputation.
Custom sending domains are Growth and above.
9. The AI Email Responder
The Email Responder sits on top of a bound inbox and drafts replies for you. It starts in shadow mode — drafting but never writing or sending — until you explicitly switch it on.
10. Security
- OAuth connections store a revocable token, never a password.
- IMAP credentials are encrypted at rest.
- Mailboxes are scoped to your account and your user.
- Revoking access in Google or Microsoft immediately stops the connection.
11. Troubleshooting
| Symptom | Cause | Fix |

| Mail stopped syncing | The OAuth token expired or was revoked | Reconnect the mailbox |
| IMAP connection refused | Wrong host/port, or the provider needs an app password | Check the provider's IMAP settings |
| Sent mail doesn't appear in my mailbox | SMTP is configured but the provider does not save to Sent | Enable "save to sent" on the provider, or use OAuth |
| A sender didn't become a lead | They already exist as a contact or lead | The message is attached to the existing record |
| Campaign mail bounces but inbox mail is fine | The sending domain is unverified — a different thing from the mailbox | Settings → Email |
