Vault

Secure file storage and sharing, with a per-seat storage pool.

The Vault is secure file storage and sharing inside the portal — folders, uploads, previews, sharing, trash and a per-account storage pool.

The Vault is on every plan. Storage is 5 GB per seat on Launch, 10 GB on Growth, 20 GB on Command, pooled across the account.

1. Getting to the page

Click Vault in the Docs section, at /client/vault.

2. My Drive

The root of your storage. Folders first, then files, with Name · Size · Modified columns. Breadcrumbs go back up; Go to My Drive returns to the root.

3. Uploading

Three ways:

  • Upload — pick files.
  • Upload folder — a whole folder tree, structure preserved.
  • Drag and drop — anywhere on the page.

Large uploads are confirmed first: "Upload 12 file(s)? These files will be uploaded to Invoices. Total size: 84 MB."

4. Duplicate handling

If a file with the same name is already in the folder, you are asked what to do:

ChoiceResult
Skip duplicatesOnly new files upload.
Upload anywayBoth copies are kept.
Replace existingThe existing file is overwritten.

If everything in the batch is a duplicate and you skip, you are told plainly rather than left with a silent no-op.

5. Organising

New folder · New subfolder · Rename · Move · Make a copy · Delete. Multi-select supports bulk move, copy, download, star and trash.

Move opens a folder picker with Move here at the destination.

6. Starred, Search and Trash

Starred — your pinned files and folders.

Search — across names. Press / to focus the search box.

Trash — deleted items land here and are permanently deleted after 30 days. Restore individually, or Empty trash to purge now.

7. Sharing

Share a file or folder with:

  • Colleagues — by account membership.
  • A public link — anyone with the link can view or download. Links can expire.

Shared documents are also an outward Call Action: the Share document action sends a caller a Vault file, once approved. It needs file_id, and takes an optional expires_days.

Chat's /doc and /folder slash commands create or link Vault items shared with a channel.

8. Storage and buying more

The header shows used of total, e.g. "18.2 GB of 50 GB".

The pool is:

(your plan's per-seat allowance × the number of people in your account) + any storage packs you have bought

Seats are counted from the people actually in the account, not from your plan's seat cap — Command sells unlimited seats, so there would be no number to multiply.

An upload that would exceed the pool is refused before it starts, naming the size, the cap and what is left: "This upload (2.1 GB) would exceed your 50 GB storage limit. 0.4 GB remaining."

Manage & get more opens storage packs, which are purchasable on every tier.

9. Keyboard shortcuts

The shortcuts panel lists them; / focuses search.

10. Where the Vault is used elsewhere

  • Inbox — attach from the Vault, or save an attachment to it.
  • Chat/doc and /folder.
  • Contracts — executed documents.
  • Procurement — receipts and supplier documents.
  • Call Actions — sharing a document with a caller.
